If you understand building maintenance and are good with people and paperwork then this could be for you.

We’re looking to add to our Concierge Team at Millharbour in Docklands. The role includes carrying out site inspections on a tablet computer, signing residents and contractors in and out, helping residents by following policies, upholding the estate rules and regulations and checking on the cleaning and gardening staff as well as learning about the plant and machinery.

You’ll need to be articulate, good with people, take a pride in your appearance and set high personal standards for yourself and the development, that means litter picking, notice boards, key control, mailroom etc. Equally you'll need to be comfortable re-setting boilers and plant and understanding what Maintenance Engineers come to do and the outcome of their visits.

The role is key to making Millharbour a destination and a place where people want to live by maintaining the highest standards at all times.

A good command of English is required as well as the ability to be sensitive but assertive as you will need to move youths on, monitor CCTV and advise on policies and procedures.

Your computer skills need to be good enough to log and photo repairs, carry out inspections using a tablet computer, and look up contractors, issue works orders and send/receive emails.



SIA qualification desirable, however we support study for industry qualifications.

Millharbour is a development comprising 352 apartments, some private, some Housing Association as well as a Tesco store and a bar and dentist. Ringley act as Managing Agent for the development and will support the successful individual with training on the building plant and facilities as well as procedures and IT requirements.

About You

In the role, you will be providing professional advice to clients and supporting enfranchising leaseholders.  This will involve dealing with portfolio and loan security valuation for property companies, banks and other major institutions in order to contribute to fees, billings and profits in line with targets.

You'd be part of a growing team aiming to deliver a 5* service as we evaluate each process to ensure a quality managed experience for Clients who come to the Ringley group for advice.

Day to day you will get involved in:

- updating the databases

- helping customers understand what they need to pay towards their service charge (money collected towards shared services in a building (insurance, cleaning, gardening...).

- receipting and allocating money received,

- preparing newsletters

- mail merging letters

- sending advice letters to solve problems

- returning customer calls

  • Consider planned preventive maintenance from a building pathology view, what the lease allows and consider statutory consultation, health and safety risks, funds available and insured items.
  • Manage building risks : Asbestos, Fire, Health & Safety, Water Chlorination, Plant , Flues etc….. advising clients of statutory and legal requirements
  • Keep an eye on cashflow and tick your on-line arrears weekly to instruct your Ringley Legal Officer to get the money in.

Key Responsibilities/Tasks

Provide solutions to those coming to Ringley for advice.   Share knowledge and support the learning of other team members.
During your first Ringley year to build up a portfolio to hit margins to enable you to take part in profit share thereafter.
Keep Clients assets adequately and competitively insured: 
Meet/exceed Ringley’s Service Level Agreement insofar as they relates to your role:
Site Visits & Meetings and Accounts being the main items
Benchmark repairs against  (a)  the lease   (b) insurance (c) Section 20 limits  (d) the budget   (e) reserves.   
Signpost owners who need to make insurance claims
Raise Works Orders to the right cost centre :  budget, reserves, owner recharges and insurance. Authorise expenditure, getting the Vat rate right on utilities and checking insurance claims proceeds are received before paying out
Manage building risks :  Asbestos, Fire, Health & Safety, Water Chlorination, Plant , Flues etc….. advising clients of statutory and lease requirements where necessary and keep abreast of changing legislation
Instruct your Ringley Legal Officer to deliver success on :
Arrears, disputes, sales packs, resolutions etc….
Instruct and manage 3rd parties work on site checking with Clients, or contractors job sheets, photos, site visits or inspecting as necessary to achieve results
Monitor and improve margins on your portfolio
Carry out a strategic review your portfolio (at least quarterly) covering the following topics:
Cashflow,    Budget : Variance,    long term/large arrears,     deficits/surpluses
Prepare service charge budgets in good time meeting and agreeing these with Clients and creating a strategic 10 year plan 
Contribute to overall company wide quality improvements.  Working to achieve great audit trail of the work you do.

 This is an opportunity to join an award winning property services company and to support our 'go paperless programme'. 



Going paperless is all about redesign of work processes so that:

1)                  existing paper is held electronically,

2)                  preparing electronic files to send to the cloud,

3)                  converting files to lower resolution, to OCR readable,

4)                  working on reducing the directory file structure to change working habits from “my computer” to “shared database driven documents”

5)                  more is sent to customers electronically to eliminate post and paper,

6)                  paper forms are put direct to database or to PDA so that paper is excluded,

7)                  new working methods are developed to exclude paper.

This company is very well known for taking the development of staff very seriously and therefore invests a large amount of time in training and mentoring staff to ensure they reach their full potential.  Ringley already has graduates of its apprenticeship schemes now with real roles and studying further qualifications since completing their apprenticeship successfully.

You’ll need to be a little brave, not a back room person as soon we’ll expect you to feel comfortable sharing and talking about a problem and working with colleagues to find solutions.  Keeping the customer informed is crucial, after all there’s no point working hard if we cant show our skill ie, that it is Ringley that can deliver.

 

We don’t expect you to come to us with any specific knowledge as we'll train you.  Bags of common sense and being able to think on your feet are essential qualities.  The ability to be sensitive and show a light touch is essential as there's lots of rules in property and if we started by reciting the rules or telling our customers off -  that would ruin our brand!





HOW AN APPRENTICESHIP WORKS:

Year 1 -  Customer Service Framework Level 2 - learning wage £120 per week  £6,240 per annum) + Travel :  Mayoral contribution towards your travel

- learning how to strip files to reduce what needs to be scanned

- managing the physical file scanning & archiving process

- remind IT weekly to move cleansed data to the "cloud'

- renaming files to prepare them for cloud storage

 

Intermediate tasks

- develop a series of flow charts to document new working processes



- reformatting and testing templates for our new systems

- preparing all legal templates by adding field names and moving them to the database

- test the database templates area and train other users







Advanced tasks

- put together a project plan to remove users from ‘my computer’ and switch to database driven working methods

- monitor the plan to project the time required and to show your weekly achievements

- attending meetings with IT with Senior Staff to agree new methods of holding data



- testing electronic processes on PDA

- shadowing people to test procedures over a range of roles and writing up what they do with supporting flow charts



- developing processes to keep up to date Ringley's panel of contractors 



- maintaining the organisation chart and phone lists



- database management to cleanse records



- data cleansing and research to prepare for marketing



- renaming electronic files to prepare them for transfer to the 'cloud'



- scanning of old records and establishing new working practices so teams scan jobs when they complete

IT at Ringley is not about ‘being a geek’ working in a remote back room and never meeting the users its about being in the centre of the hustle and bustle of a busy office with 5 departments all giving you different challenges to deliver.

 

This is a junior start role creating a cutting edge bespoke Finance application using open source technologies. We use RoR, MySQL, Passenger, Amazon S3, deployed on Ubuntu Server.

 

We already lead the industry with our range of e-commerce applications, i.e. leaseholdersupport.co.uk, leaseholdguidance.co.uk, ringleyestatemanagement.co.uk, ringleypanel.co.uk, ringleylets.co.uk which are integrated with our internal systems and processes to tie our several departments together.

 

Desired

·            Ruby on Rails framework basic understanding

This opportunity will put you under a Senior Software Engineers, initially your primary duties may involve:

-          building the front end pages so it is agreed what to programme to

-          dealing with document generators such as prown

-          learning how to write technical specs

-          bug fixing

-          writing delegated parts of new software

 

Later, you’ll be assigned your own projects, with direction on the quality of your code, rules and be able to attend meetings with users and as your conceptual experience of both property and programming improves so we will accelerate your apprenticeship.
