The Ringley Group is registered under the Data Protection Act and is committed to safe storage of customer data. Our records comprise the legal ownership registers of blocks we manage as well as property information related to bank lending applications. We have a duty to keep databases and cross reference data to ensure that we do not undertake instructions where there is a conflict of interest.

In respect of financial transactions credit card transactions are processed by a 3rd party (Barclays) and Clients credit card numbers are not stored, nor advised to staff members who deal with the ledger allocation of any payments made. Bank details collected for setting up direct debits are not stored on the server and are held for reference purposes in our in-house secured database.

We operate on the basis that only Clients who hold the status of Freeholder or Director of any Freehold or Management Company have the right to see ownership and arrears data held for owners in any estate or block of flats. There are therefore two levels of access to Client web areas to keep certain information protected and safeguarded from people other than the Freeholder or Officers of any Freehold or Management Company.

In the unlikely event that the password is compromised there is no high risk for clients. The Clients' area provide read-only financial information on the site, and as stated above, credit card and bank details are either processed via Barclays or stored in our in-house secure database.

In the case of Leaseholder Support.co.uk the highest risk is that after compromising a password, Director's authorisation code could be maliciously read and used to authorise a payment. Even if this happens at Ringley our Property Finance Team would vet the expense as likely or not before processing it.
